Seats & Members
What counts as a seat and how team size affects billing.
On Pro, Docpipe is billed per seat, so it's worth knowing exactly what counts as one.
What a seat is
A billable seat is each active member of your workspace plus each pending invitation. Inviting someone reserves a seat right away, so a seat is never double-booked while an invite is outstanding. When an invite is accepted, that person becomes the active member on that seat; if an invite is revoked or expires, the seat frees up.
Free plan seats
The Free plan includes 3 seats. Once you've filled them, inviting or adding another teammate prompts you to upgrade — "Your Free plan includes 3 seats. Upgrade to Pro to add more teammates." Pro and Enterprise have unlimited seats.
Adding and removing members
Members are managed under Settings → Members — invite people, assign roles, and remove them. See Invite your team for the full invite flow, and Roles & privileges for what roles control.
Removing a member frees their seat and revokes any API keys they created. A workspace always keeps at least one owner, and only an owner can remove another owner.
If your team is over the limit
If you cancel Pro while your team is larger than the Free plan's 3 seats, nothing is deleted and no one is locked out of reading — but you'll be over the seat limit until you either remove members or re-subscribe. Docpipe shows this state on the billing page so it's clear how to resolve it.
Because a pending invitation holds a seat, cleaning up invitations that were never accepted is the quickest way to free seats on a Free workspace.
